Privacy Statement

How we collect information

Kaibosh collects personal information to enable us to effectively fulfil our mission to rescue quality surplus food and to distribute food to organisations who support people in need. This may include collecting information for marketing and communication purposes.

Kaibosh collects information from volunteers, food recipients and donors, people and organisations we work with, service providers and suppliers, staff and the Board. We sometimes collect personal information via third party service providers who we contract to support us, such as:

  • Donorbox: a service that supports us to receive donations
  • Give-a-Little: a service that supports us to receive donations
  • Humanitix: a service that supports us to generate tickets for events
  • Mailchimp: a service that supports us to send newsletters and emails
  • Google Analytics: a service that provides us with website analytics
  • Meta: a social media provider where we connect with individuals and business and that we use to advertise through.

Where we collect information from public social media interactions (such as comments on our posts), we may rely on the publicly available information exemption under IPP 3A. However, we will only collect and use such information in ways consistent with the purpose for which it was made public.

Where reasonability practicable in the circumstances we will collect your personal information directly from you. However, in some cases, we will collect your personal information from a third party, for example, from your employer or the organisation that you volunteer with. We may also collect information about you from social media, such as when you comment on our posts.

It is not mandatory for you to provide Kaibosh, our contracted service providers or any third-party provider with your personal information. In some cases, without your personal information, Kaibosh may not be able to work with you, or offer you our full support and services.

The information we collect 

The personal information we collect may include but is not limited to: 

  • names, dates of birth, addresses and other contact details
  • health information related to your ability to work or volunteer with us, such as any: disabilities, injuries, allergies, vaccinations
  • banking information
  • educational information  
  • work-related information such as employment agreements and salary
  • photographs and other social media
  • newsletter and website analytics
  • cookies
  • IP addresses

Information storage, use and disclosure 

Kaibosh protects personal information with security safeguards that are reasonable in the circumstances. This is to prevent it being lost, access, used, modified or disclosed without authorisation or inconsistently with our legal obligations and policies, including our Code of Conduct. 

All information collected, organised, stored, accessed, disclosed and disposed of by Kaibosh is managed in a way consistent with our Information Management and Privacy Policy. A copy of the policy is available on request.  

Personal Information is only accessed by those who need to use it, and is only disclosed to people or organisations in accordance with any consent you have provided or as required by law. 

Kaibosh retains personal information only for as long as it is needed for the purpose it was collected, or as required by law, after which it is securely disposed of.

Kaibosh does not permit our contracted third-party service providers to use any personal information associated with Kaibosh for their own purpose, though you may grant them permission. 

Any third party from whom we collect information should comply with the Privacy Act 2020 and provide their own privacy statement in addition to this statement. 

Of note, we may use images or videos taken while on-site at Kaibosh or during participation in a public function or activity arranged by Kaibosh, to use photos/videos for marketing and communication purposes. You can tell us if you don’t want this to happen.

Where Kaibosh collects personal information about you from a third party — such as your employer, a partner organisation, or a volunteering platform — we will take reasonable steps to notify you of this as soon as reasonably practicable after collection. That notification will include: 

  • the fact that we have collected your information and from whom 
  • the reason we collected it 
  • who may have access to it (which will be limited to staff who need it to fulfil the purposes described above)
  • how to contact us to access or correct your information 

In limited circumstances where it is not reasonably practicable to notify you (for example, where we have no contact details for you), we will document our reasons for not doing so. 

Access and correction of your personal information 

Kaibosh recognises that the personal information we hold belongs to the individual about whom it relates. On request, we will provide that information to the individual, will enable its correction and will dispose of the information (in compliance with all relevant legislation).  

Requests for access to, and correction of, personal information can be made to Kaibosh at any time by contacting us in any of the following ways:

Limiting the collection of cookies and website analytics 

Depending on your browser or device, you may be able to limit the collection of cookies and website analytics. For example, you may choose to: 

  • block cookies, including those from third parties
  • adjust your browser’s privacy settings.

Exemptions 

In some circumstances, it may not be reasonably practicable to notify individuals when their information is collected from a third party (for example, where contact details are unavailable). In such cases, Kaibosh will only rely on this exception where it is genuinely reasonable to do so.
